A user of the Trust Network activates the registration process for a business partner. We have elaborated on the arguments of the business partner in ‘why participate?’ Here, we explain the process steps:
Step 1: A user, usually the Business Process Coordinator, invites a business partner via the information ecosystem. The user does this by clicking the ‘NEW COMPANY’ button. A form will appear, the Business Process Coordinator enters the data and sends it to the service desk. The following preparations are recommended:
- Inform your business partner of your request to become a user of the Trust Network also. Communication material to inform your business partner about the reason and the steps for your request will be distributed. See: Connecting Successful Business Partners to Your Information Ecosystem.
- Your business partner may decline a request to become a user of the Trust Network. The service desk employee will then contact your business partner’s contact person and inventory the situation. The service desk employee then informs and reports to you about the conversation results.
Step 2: Whether the request is accepted or rejected, the service desk investigates your business partner’s entities and representatives. The service desk employee uses authentic sources (for example, the Chambers of Commerce), the Trust Network and freely accessible sources. MYOBI can:
- Decline the request. The service desk employee will contact your business partner’s contact person and discuss the investigation results. The service desk employee then informs the user; or
- Accept the request. MYOBI generates an information ecosystem and a company-specific learning environment with several awareness programs for your business partner.
Step 3: The service desk employee asks the representative of your company to accept the TTP policy, after which the representative receives the role of Company Administrator. The representative delegates tasks to employees by linking them to roles.
Step 4: It is recommended that your business partner’s employees attend the awareness training. This will help develop an understanding and knowledge of effectively organizing the corporate legal function, especially the contracting process.
Step 5: By accepting the TTP policy, your business partner becomes acquainted with the Trust Network, including applying smart contracting up to three agreements free of charge but with obligations. After concluding more than three agreements, MYOBI charges license fees. This prompts MYOBI’s compliance department to contact your manager to discuss accountability for organising compliance with legal and contractual obligations related to privacy and information security. MYOBI offers an effective approach based on the TTP Code of Conduct GDPR, generally accepted maturity levels and accessible accountability on the MYOBI website that is confirmed based on a plausibility test.
