The contact person of the invited business partner: ‘I want to do my job well!’ The contact person of the inviting business partner wishes to make agreements about, for example, the delivery of products or services. This requires:
Step | Definition | Why? | How? |
1. | Reliable business partner data | Make arrangements with the appropriate legal entity and authorized person. | Business partners become users of the Trust Network and have their legal structure and representatives established |
2. | Personal data of the contact person who takes care of the internal coordination: the business process coordinator | Let the contracting and contract management process run smoothly and effectively from within the business partners’ organisation | The user’s contact person invites the business partner to contract the business process or organise the contract management |
3. | Personal data of the Authorized Signatory, usually the representative | The authorized signatory can bind companies so that obligations can be mutually enforced | The company indicates who has the right to sign and adds this to the company data. Next, the Business Process Coordinator adds the Signing Author(s) to the business process |
4. | Agreements are clearly and unambiguously laid down in a contract signed by the Signing Officer | The rights and obligations are clear to the companies. Therefore, there is a reasonable basis for contract management | The company uses a contract library that contains and maintains company-specific agreements |
5. | A business process aimed at concluding agreements | When concluding contracts, it is about the companies’ explanation of the agreements | A file is created for each contracting process with the documentation of the pre-contractual phase |
MYOBI supports the contact persons and the Business Process Coordinators with a service desk, a company-specific learning environment with awareness programs and, if desired, with advice from professionals. The Business Process Coordinator of the business partner does not have to be concerned about any costs of using MYOBI’s services. The initiating business partner is already a paying user, and therefore the invited business partner can use the service for free up to three concluded contracts.
An invited business partner becomes a user of MYOBI free of charge as follows:
Step 1: The initiating party’s Business Process Coordinator asks MYOBI to invite the business partner’s company and contact person.
Step 2: The service desk conducts a public source investigation based on company data from the Chamber of Commerce into the company’s identity and the authorised representative(s). There are two outcomes:
- The results of the investigation are negative and MYOBI contacts the contact person of the business partner and discusses the results of the investigation; or
- The results of the investigation are positive, after which MYOBI includes the company in the Trust Network and assigns an information ecosystem and a company-specific learning environment.
MYOBI informs the Business Process Coordinator of the initiating party about the investigation’s progress and results.
Step 3: MYOBI gives the representative of the invited business partner the role of ‘Business Administrator’ in the information ecosystem. After the representative has accepted the TTP policy, MYOBI opens the information ecosystem, and the Company Administrator assigns employees to roles:
- The Business Process Coordinator
- The Signatory (usually the representative); and
- Any other roles.
MYOBI asks every (employee of a) user to accept the TTP policy.
- The Business Process Coordinator of the invited partner continues the contract business process; and
- All this is free of charge up to three concluded agreements.
