Here are the steps that need to be taken to quickly start with MYOBI, the business processes and the contracts.
1. Start your own business process
As a Process Coordinator, go to ‘Business Processes’ and then to ‘My Processes’. At the bottom right, click on the ‘plus icon’ to start your own business process. Fill in the name of the business activity and the type of business process. Click on ‘Save’.
2. Add the right users to the business process
Go to the relevant business process and select it. On the left, click on ‘Companies and Users’ (also marked with a ‘B’) and then on ‘My Participating Users’. Add a user to the business process.
3. Import the desired contract
Go to the relevant business process and select it. In the dashboard of the business process, you will see ‘import contracts’. Select it and choose a contract from the contract portfolio.
4. Adjust a contract to the situation of your own company
Select the desired business process and click on the contract that you want to adjust. A new screen with the contract will open. Now, adjustments can be made if the users’ role allows it. Only the contract authority and contract author can amend contracts.
5. Invite contracting parties
Select the desired business process in ‘My Processes’. Then go to “Companies and Users” and select “Participating Companies” from the Trust Network. Is the company not among them? Then go to ‘Trust Network’ and select ‘New Company’. Fill in the companys’ and personal contact details. The Process Coordinator of that company will receive an invitation to participate in the business process. The invited company can add its own Users to the business process.
6. Request legal support if desired
Select the desired business process and click on ‘Legal Support’ on the left. A plus icon will open with ‘Add Legal Support’. Describe your needs and send the invitation. You will be contacted by a legal professional as soon as possible.
7. Reaching Agreement
The contracting process has begun. Adjustments can be made to the contract, comments on articles can be placed in the contract, and discussion can follow. All adjustments and comments are saved as an audit trail in the MYOBI Trust Network.
8. Digital Signing
If an agreement is reached, both parties sign the contract digitally. Only the Contract Signatory can do this. The signed contract can then be found in ‘My Processes’ and ‘My Contracts’.
9. Store, manage and account
MYOBI certifies the agreed contract, manages the contract and offers process support if necessary. This is crucial for accountability and compliance.
