Inviting contracting parties

Parties with whom one wishes to contract are invited to participate in the business process, so that negotiations can take place and the contracts can actually be concluded.

If the contracting party is registered with MYOBI and is part of the MYOBI trust network, the invitation is sent to the business process coordinator of the contracting party to participate.

The business process coordinator sends the invitation from within the business process. At the top left of the screen you have to click on the B for Companies and users,

then click Participating Companies.

after which you can click on the plus at Add,

to get to the field where the details of the contracting party to be invited can be entered:

By clicking on ”Need” you can search in the MYOBI Trust Network for the contracting party. This search can be done by name, address and Chamber of Commerce number, among other things.

If a party to be invited is not yet part of the MYOBI Trust Network, the MYOBI Service Desk will invite this party to register with MYOBI. The MYOBI Service Desk ensures the authentication of the identity of persons and the linking of the “Company Administrator” role of a company to a person. If the contracting party is registered and added to the MYOBI Trust Network, the invitation to contract can be sent. The invitation may state the reason for the invitation.

By clicking on save, the invitation is sent to the contracting party. This person will receive a notification in his own MYOBI environment.

If the invited party clicks on “‘Business Process Invitations'” he will enter the invitation which he can accept or decline by clicking further.

If the invited party accepts or declines the invitation, they can comment on it. The moment the invitation is accepted, the contracting party is also a participant in the business process and can see this in its own overview.

The business process coordinator of the business process who sent the invitation will receive a notification if the invitation is accepted or declined. The notification appears on the homepage of his own environment in MYOBI, and he also receives the notification by SMS.

The business process coordinator can then add employees from his own organization to the business process, for example a Contract Author to legally assess the contract offered and a Contract Authority to sign the contract at the right time.
