Agreement and signing contracts

Once the invited contract party has access to the business process, the contract can be made available to all users in the business process. To do this, the Contracting Authority of the initiating party changes the status of the contract to “For external review”.

The Contract Authority goes to the relevant contract and clicks on the three dots at the top right, and then on ”change”.

…

Thereafter, the Contract Authority may mark the status of the contract as “For external approval”.

…

As soon as a contract is marked ‘Application’, all users within the business process will be notified by SMS and on the home page, and will have access to the contracts.

Depending on the user’s role and associated permissions, a user can only read, comment, or make changes to the contract. Commenting or making a change is done in the specific article or clause, by clicking on the three dots on the right:

…

Depending on the permissions, the options appear to the user. If a user posts a comment or makes a change, all users within the business process are notified by SMS and a notification on the home page.

All changes and comments are logged in history and provide a full accountability record of what happened in the process.

Users can communicate securely with each other within a business process via secure messaging. It is highly recommended to use this messaging system to communicate with other users within a process, rather than using other messaging platforms outside the system which may not provide the required protections to the exchanges. Messages within a process cannot be deleted or changed, which means that any message sent within a business process becomes part of the accountability record.
